For Independent Research Sites

Study budgets and financial terms often pass through several people before they are implemented. PI PARTNER helps independent research sites create a clearer record of the work, assumptions and decisions behind those budgets and terms.

We support site managers, investigators and finance teams with protocol analysis, study budgeting and financial negotiation. The aim is to make each assignment easier to review, discuss and hand over within your organisation.

Build a repeatable working approach

Different studies can require different resources and payment structures. A repeatable approach should make those differences visible rather than force every study into the same assumptions.

We organise activities, roles, frequencies and cost drivers in a structure that your team can examine. For financial terms, we use an issues record to distinguish questions, proposed positions, approvals and agreed outcomes. The structure supports consistency while preserving the specifics of each study.

Connect the budget with delivery

The person preparing a budget needs input from the people who will perform the work. The person responsible for invoicing needs to understand which activities are covered and what triggers payment. Gaps between these views can create avoidable uncertainty.

Our analysis connects study requirements with the relevant roles and assumptions. It helps your team identify where responsibility or financial treatment is unclear, then turn that uncertainty into a question or decision.

Define responsibilities before negotiation

We clarify who provides site inputs, who reviews the analysis and who has authority to approve a position. If the engagement includes participation in negotiation, the mandate and communication route are defined explicitly.

A working issues matrix can show the term under review, its practical effect, the proposed response, the owner and its status. This creates a record your team can use when responsibilities change or a discussion resumes after a pause.

PI PARTNER's role does not transfer your site's clinical, operational or contractual responsibilities. Your authorised representatives decide what the site will accept and obtain legal advice where required.

Make the handover useful

The agreed deliverables should explain both the output and the assumptions behind it. For budgeting, that can include the activity map, input assumptions, exclusions and questions still awaiting confirmation. For financial terms, it can include agreed positions, payment conditions and unresolved points.

The handover allows your team to identify what needs to happen next and who needs to act. It can also provide a structured starting point when an amendment changes the work or when a new colleague takes responsibility for the study.

Protect the document exchange

We start with a short professional enquiry. The website has no document upload and must not receive protocols, patient data or confidential sponsor material.

Before exchanging study documents, we agree an appropriate channel and consider the applicable contractual permissions and data categories. The presence of a collaboration platform does not by itself authorise a particular sponsor document to be stored there.

Choose the support you need

Protocol analysis and study budgeting addresses how the study's requirements translate into a budget. Contracts and financial negotiation addresses how the agreement treats that work and the conditions around payment. A proposal can combine the services where the assignment requires both.

We define deliverables and responsibilities in the proposal. We do not publish standard prices, guarantee a negotiation outcome or claim a proprietary fair market value database. Regulated legal advice is outside the service.

Request a tailored proposal

Tell us whether you are preparing a new budget, reviewing financial terms or dealing with a change to an existing study. We will discuss the scope that matches the decision your team needs to make.
